How to Apply for Access to ACTRIS Facilities
 

ACTRIS provides researchers, innovators, and stakeholders with access to its world-class facilities and services through a structured, transparent, and harmonized application process. Whether you require physical, remote, or hybrid access, applying for ACTRIS access is a straightforward multi-stage process designed to ensure fair and efficient resource allocation.

 

Where to Start?

All access opportunities are listed in the ACTRIS Catalogue of Services, an up-to-date, searchable online platform detailing the services available at ACTRIS Facilities.

Access requests can be submitted through the ACTRIS access management platform (ACTRIS PASS):

  • At any time – Place a service request directly via the ACTRIS Catalogue of Services.
  • Through a rolling call – Access opportunities without a fixed deadline.
  • Through dedicated calls – Special calls launched to promote research addressing specific scientific or societal challenges, such as air quality, climate change, or environmental emergencies.
     

 

The ACTRIS Access Application Process

Access to ACTRIS facilities follows a harmonized and transparent multi-step process:

1 - Access Opportunities & Call Announcement: 

Open access opportunities and calls are advertised through the ACTRIS website, Catalogue of Services, and dedicated outreach channels.

2 - Application Submission

Applicants submit their request via ACTRIS PASS, specifying the required facility, service, and project details.

3 - Eligibility Check

The Service Access Management Unit (SAMU) verifies eligibility based on funding criteria, user affiliation, and dissemination requirements.

If revisions are needed, applicants will be notified and given a deadline for adjustments.

4 - Feasibility Check

ACTRIS Facility providers assess technical and logistical feasibility to ensure the requested service can be delivered.

5️ - Independent Merit Evaluation

External experts review applications based on scientific excellence, innovation potential, and alignment with ACTRIS objectives.

The evaluation is typically completed within 4-6 weeks, provided no additional clarifications are needed.

6️ - Access Provision

Once approved, users receive confirmation and can proceed with access to the requested services.

7️ - Post-Access Requirements

To ensure proper documentation and continuous improvement of ACTRIS services, users and providers must fulfill few post-access duties:

Facility Providers Submit:

  • Confirmation of Access (certifying the quantity of access provided).
  • Attestation of completed activities (e.g., calibration documents, training certificates).

Users Submit:

  • Activity report summarizing work conducted at the facility.
  • User feedback questionnaire to improve ACTRIS services.
  • Access results, including publications and datasets generated.
 

Special Access Procedures

ACTRIS recognizes the diverse needs of its users and offers special access procedures for:

  • Private sector users: Expedited access for technology testing, validation, and industrial collaboration.
